Job Description Summary
Serving as a member of the Academics team, the Academic Advising Specialist for Online Degrees & Certificates will oversee comprehensive advising and community building across our diverse for-credit online portfolio, including multiple online degrees and certificates. Reporting to the Associate Director of Online Professional Programs, the position will play a pivotal role in ensuring the success and satisfaction of our students. Provide high-quality academic advising, track and use metrics to make decisions, and ensure students meet their goals and have a positive experience in the program. This position will join a collaborative team that is continually innovating and streamlining processes in a positive and dynamic work environment.
Job Description
- Advising Management
- Oversee and execute a comprehensive advising plan for students.
- Track and maintain student records by processing course-level petitions, performing and reviewing prerequisite errors.
- Maintain online resources for students such as the onboarding course, graduation course, and other supplemental resources.
- Maintain program semesterly cyclical reminders and run reports to complete administrative advising tasks and communications to students.
- Monitoring the deferral and leave of absence process for students, ensuring accurate documentation and updating student records to reflect correct status.
- Oversee and execute a comprehensive advising plan for students.
- Advising
- Conduct day-to-day communication with advisees via email, phone, texting, office hours, and video-conferencing in a warm and professional manner ensuring that all correspondence is addressed within 24 hours of receipt.
- Advise students on curriculum, program policies, time management, etc. Connect students to University resources as needed.
- Host weekend and evening advising sessions each month.
- Serve as an advisor for new students, guiding them into their new academic program.
- Advise students who are on academic probation or are considered to be at risk based on programmatic criteria.
- Conduct day-to-day communication with advisees via email, phone, texting, office hours, and video-conferencing in a warm and professional manner ensuring that all correspondence is addressed within 24 hours of receipt.
- Community Engagement
- Propose and collaborate with Student Success Team to implement a comprehensive student life and community engagement strategy including virtual and in person events such as online seminars and student networking events, student clubs, monitoring and seeding student Slack workspace and LinkedIn group.
- Maintain active communication channels, including Slack, to ensure information is disseminated efficiently and community engagement is supported.
- Assist with planning and organizing our large scale, in-person events such as our Commencement Reception.
- Manage special community programs such as the Grace Hopper Scholarship initiative to promote diversity in technology.
- Propose and collaborate with Student Success Team to implement a comprehensive student life and community engagement strategy including virtual and in person events such as online seminars and student networking events, student clubs, monitoring and seeding student Slack workspace and LinkedIn group.
- Other - Cross-train as an integral member of the Penn Engineering Online Academics team and perform other duties as assigned.
Qualifications:
- Bachelor's degree and a minimum of 3 years advising experience, or an equivalent combination of education and experience. A Master's degree in higher education, student affairs administration, or related field is strongly preferred.
- Excellent written and verbal communication skills
- Ability to work independently and as a team member
- Strong customer service skills, positive attitude, and attention to detail.
- Demonstrated experience developing and managing large student events.
- Proficient with GSuite, MS Office 365, and communication tools (e.g. Slack, Teams) and ability to adapt to new tools and technologies.
- Experience using technology to streamline student communication through ticketing systems, CRM, and/or project management tools such as Asana. Experience with Slate preferred.
